Iowa Vocational Rehabilitation Services (IVRS) is recruiting to fill a Secretary 1 position in Decorah location for the Mason City Area Office to provide administrative work and support within the service area. Responsibilities of the position are as follows, with additional duties as assigned.
Front Desk Reception duties will be required by this staff member, providing coverage for visitors. Those responsibilities would include receiving/screening visitors, answering routine questions and routing issues to counselors or area office supervisors and escalating more complex issues either to area supervisor or Secretary 2. They will open, date stamp and distribute mail along with composing letters, emails and text messages. This individual will be the first point of contact for landlords and other vendors to schedule routine maintenance, including hardware (copy machines, fax machines, scanners, printers, telephones, etc). They will troubleshoot technology issues with the IT department. Processing office bills, telephone invoices and utilizing USPS or UPS/FedEx services will be necessary. This staff member will be ordering office supplies and equipment. This Secretary 1 will also type resumes, cover letters, edit job search forms, and provide assistance as needed to facilitate job search efforts for job candidates. These tasks will require use of email, internet and intra-agency sources. Statistical information and data as requested by professional staff and area office supervisor will be required. This staff member will participate in monthly staff meetings, complete authorizations from dictation or written notes and review outstanding authorizations as needed to ensure billing is accurate; coordinating with counselor on any billing discrepancies.
Administrative support to counselors and associates will be provided by the staff member in this role. They will schedule appointments, call clients with appointment reminders, enter data into case management systems, create authorizations for service and processing invoices, produce letters, reports and documents. This individual will create, open and close case files, enter status updates into the case management system, cancel and amend authorizations as directed by the counselors. It is important to accurately file documents into the case files. They will maintain control of records to monitor time frames for case in application, intake, eligibility and employment and follow up to ensure receipt of information required to meet established time frames. Working with counselors and job candidates will be necessary to secure extensions when needed and this person will problem solve the case management report with the counselors, becoming aware of Vocational Rehabilitation services available to each job candidate and assisting the counselors in managing case documentation.
080 Typing Score of 50 or greater (50-59 WPM)

Minimum Qualification Requirements
Experience equal to one year of full-time clerical or closely related work;
post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis;
completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required experience;
certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;
employees withcurrentcontinuous experience in the state executive branch that includes permanent status as a Typist–Advanced.
